This notice explains how Face2Face Installs Ltd handles information from website visitors and people who enquire about our services.
Who is responsible for your information?
Face2Face Installs Ltd is the data controller. We are registered in England and Wales, company number 17356362. Our registered office is 12 Grove Close, Wokingham, RG40 3NA.
For a privacy question, rights request or complaint, email hello@face2faceinstalls.co.uk, call 0118 391 3579, or write to our registered office.
Information we receive
You provide information when you contact us by form, email or telephone. This can include your name, contact details, installation postcode, services of interest and the project details you choose to share. If you contact us on behalf of a business, this may include your role and business contact details.
The form requires a name, email address and message so we can understand and answer your enquiry. Phone number, postcode and service selections are optional. You do not have to use the form; you can call or email instead.
Please do not send passwords, alarm codes, access credentials, DBS certificates or sensitive personal information through a general enquiry.
When you browse the site, our hosting service receives technical information needed to deliver and protect it, such as your IP address, requested pages, browser information and the time of the request. We do not use website analytics, advertising trackers or tracking pixels.
Why we use information and our lawful bases
- Enquiries, quotes and installations: where you ask us to take steps towards a contract with you, or to carry out agreed work, we rely on the contract lawful basis.
- Other correspondence and business enquiries: we rely on our legitimate interests in answering questions, communicating with business contacts and managing our services.
- Site security and resolving problems: our legitimate interests are keeping the website working, preventing misuse and handling complaints or disputes.
- Required business records: we rely on legal obligations where we must retain information for tax, accounting or other statutory requirements.
An enquiry does not sign you up to a marketing mailing list. We do not sell your personal information or use website enquiries to make solely automated decisions with legal or similarly significant effects.
Who receives information?
Information is used by the people who need it to respond to your enquiry or arrange your installation. Relevant project and site-contact details may be shared with an engineer or contractor working on your project. We may also need to share records with professional advisers or authorities where required by law.
Our website host is Actrand. We also use a business email service to receive and manage correspondence. These service providers handle information needed to operate the website and deliver email.
Contact form service
The contact form sends the information you enter to FormSubmit, which processes it and forwards it to our email inbox. FormSubmit states that it retains submissions for 30 days. See FormSubmit’s privacy policy and service documentation. You can avoid this form service by contacting us directly by email or telephone.
How long we keep information
Enquiries that do not lead to work are kept for 30 days after our last contact, then deleted. If an enquiry becomes a job, we retain the information needed to carry out the work and deal with the associated warranty or any dispute. Records needed for tax or accounting are retained for the relevant statutory period. Where a legal claim or requirement means we must retain particular information longer, we keep only what is needed for that purpose.
Technical hosting logs and provider backups follow the relevant provider’s retention arrangements. Contact us if you need information about a particular record.
Processing locations
Our service providers may process information outside the UK. You can contact us for details of the providers handling your enquiry, their processing locations and any applicable international-transfer safeguards.
Your data protection rights
Depending on the circumstances, you can ask to access, correct or erase your information, restrict its use, or receive a portable copy. You can object to processing based on legitimate interests. Where processing relies on consent, you can withdraw it at any time; that does not affect earlier lawful processing.
Contact us using the details above to exercise a right. We may need to check your identity before disclosing personal information. Rights are subject to conditions and exemptions, which we will explain if relevant to your request.
Privacy complaints
If you are concerned about how we have handled your information, please contact us by email, phone or post. We will acknowledge your complaint within 30 days, investigate it and explain the outcome without undue delay.
You also have the right to complain to the UK data protection regulator, the ICO. Visit the ICO’s complaints page or call 0303 123 1113.
